You’ve got at least three choices when faced with this situation.
- You can include it in your agreement with the meeting planner. Even written items aren’t always followed, so be prepared to remind the on-site contact when you arrive of the things you need done to make the presentation go well for the participants.
- If the organizers don’t come through, you can ask people in the audience for help prior to the presentation. “”Say, it would be a big help to me and the other folks nearby to not be distracted by the exit door slamming shut when people left for the restroom or to take a call. Would you take responsibility for muffling that sound during the talk?””
- As a fallback position, be prepared to do the tasks yourself. Make a checklist and follow it.
